Yes. This one should be written as public-facing website terms, not as a long internal policy. It needs to answer the donor’s basic questions: what am I authorizing, how often will I be charged, can I change it, can I cancel it, and what happens if a payment fails.

VAlanthropy Monthly Giving & Recurring Donation Terms

VAlanthropy’s Monthly Giving Program gives supporters an easy way to provide dependable, ongoing support for our mission and the continued development and long-term sustainability of veteran housing initiatives, including Hidden Wounds Village Alpha.

Monthly giving is voluntary. Donors may change or cancel their recurring gift at any time.

Monthly Giving

When you select a monthly donation, you authorize VAlanthropy and its approved payment processor to charge the payment method you provide in the amount you select on a recurring monthly basis.

Your recurring donation will continue until you request that it be changed, paused, or canceled.

There is no required minimum length of participation.

The $20 Monthly Challenge is a suggested giving opportunity. Donors may choose $20 per month or another available recurring amount.

How Monthly Gifts Are Used

Unless a donor selects an approved designated giving option or VAlanthropy accepts a written restriction, monthly contributions will support VAlanthropy’s charitable mission and current organizational priorities.

These may include work related to:

  • Hidden Wounds Village Alpha.
  • Housing development and project readiness.
  • Furnishings and move-in preparation.
  • Long-term sustainability.
  • Organizational operations necessary to advance the mission.
  • Donor and community engagement.
  • Future veteran housing development.

VAlanthropy will not represent that a specific monthly gift pays for a particular item, service, or outcome unless that use has been verified and approved.

Payment Authorization

By enrolling in monthly giving, you authorize recurring charges to the payment method submitted through VAlanthropy’s donation system.

Charges will generally occur monthly according to the schedule established by the payment processor.

The exact processing date may depend on the date of your first contribution and the payment platform used.

Your bank or card issuer may separately apply fees according to your own account agreement. VAlanthropy does not control fees charged directly by your financial institution.

Donation Receipts

Donors should receive confirmation or a receipt following each successfully processed contribution through VAlanthropy or its payment processor.

VAlanthropy may also provide an annual giving summary for donor records.

Donors are responsible for consulting their own tax adviser regarding the deductibility of charitable contributions.

Changing Your Monthly Gift

Monthly donors may request changes to their recurring gift at any time.

You may request to:

  • Increase your monthly contribution.
  • Decrease your monthly contribution.
  • Change your payment method.
  • Update billing information.
  • Change your contact information.
  • Change communication preferences.
  • Pause your recurring gift when supported by the payment platform.
  • Cancel future recurring gifts.

Requests may be made through the donor account tools provided by the payment processor or by contacting VAlanthropy.

Cancellation

Monthly donations may be canceled at any time without penalty.

To prevent an additional recurring charge, cancellation requests should be submitted before the next scheduled processing date whenever possible.

VAlanthropy will make reasonable efforts to process cancellation requests promptly.

A contribution that has already been processed before a cancellation request is received may not automatically be refundable.

If available, donors may also cancel recurring gifts directly through the secure donor portal or payment processor.

Payment Method Updates

For donor security, VAlanthropy staff should not request or accept full credit card numbers, security codes, or banking credentials through ordinary email, text message, or voicemail.

Donors needing to update a payment method should use:

  • The secure donor portal.
  • The payment processor’s secure update link.
  • Another approved secure payment method provided by VAlanthropy.

If assistance is needed, the Advancement team can provide instructions without collecting sensitive payment credentials through unsecured channels.

Failed or Declined Payments

If a recurring payment is declined or cannot be processed, VAlanthropy or its payment provider may:

  • Attempt to process the payment again.
  • Notify the donor that payment information needs to be updated.
  • Provide a secure method for updating the payment method.
  • Suspend future recurring transactions after repeated unsuccessful attempts.

VAlanthropy will not charge penalties for a failed recurring donation.

Refunds and Payment Errors

Charitable contributions are generally final.

VAlanthropy will review requests involving:

  • Duplicate charges.
  • Incorrect donation amounts.
  • Unauthorized transactions.
  • Administrative or processing errors.

Refund requests should be submitted as soon as possible after the donor becomes aware of the issue.

Approval of a refund will depend on the circumstances, payment processor requirements, and applicable law.

Donor Privacy

Information collected through monthly giving will be handled according to VAlanthropy’s Donor Privacy Policy and Website Privacy Policy.

VAlanthropy does not sell or rent donor information for outside marketing purposes.

Monthly donor information may be used to:

  • Process donations.
  • Send receipts.
  • Manage recurring gifts.
  • Provide project and impact updates.
  • Communicate payment issues.
  • Thank and steward donors.
  • Share appropriate giving opportunities.

Donors may update their communication preferences at any time.

Donor Recognition

Monthly donors may be recognized as part of VAlanthropy’s community of recurring supporters when they have not requested anonymity.

Public recognition is optional.

Donors may request:

  • Anonymous giving.
  • Removal from public donor lists.
  • Limited recognition.
  • Changes to communication preferences.

Monthly participation alone does not create naming rights, ownership rights, sponsorship rights, or decision-making authority within VAlanthropy.

Changes to the Monthly Giving Program

VAlanthropy may update the name, messaging, technology, payment processor, or administrative procedures associated with its recurring giving program.

Any changes affecting the amount or frequency of an existing donor’s authorized recurring contribution should not be made without appropriate donor authorization.

Material changes to these terms will be reflected on the VAlanthropy website.
