VAlanthropy Giving, Gift Acceptance & Donor Transaction Policy

VAlanthropy is committed to making charitable giving clear, secure, respectful, and easy to understand. This policy explains how charitable contributions are accepted, acknowledged, updated, canceled, and administered.

It applies to one-time gifts, recurring gifts, sponsorship-related contributions, donor-advised fund grants, noncash gifts, and other approved charitable contributions made to VAlanthropy.

1. Charitable Contribution & Tax Acknowledgment Notice

VAlanthropy is a 501(c)(3) nonprofit organization. Contributions may be tax-deductible to the extent permitted by law.

VAlanthropy will provide appropriate donation acknowledgments and receipts for contributions received.

For charitable contributions of $250 or more, donors seeking a federal tax deduction are generally responsible for retaining a written acknowledgment from the charitable organization. That acknowledgment may include the organization’s name, the amount of a cash contribution or a description of a noncash contribution, and a statement indicating whether goods or services were provided in exchange for the contribution.

When VAlanthropy provides goods or services in connection with a contribution, the acknowledgment may include a good-faith estimate of their fair market value when required.

For certain payments that are partly charitable contributions and partly payment for goods or services, additional disclosure requirements may apply.

This may include certain fundraising events, donor recognition items, or other benefits received in connection with a charitable contribution.

VAlanthropy does not determine the amount an individual donor may claim as a charitable deduction and does not provide individual legal, accounting, or tax advice.

Donors should consult their own professional advisers regarding the deductibility or tax treatment of any contribution.

Donation Receipts

Receipts or acknowledgments may be provided electronically or in writing and may include:

  • Donor name
  • Contribution date
  • Contribution amount
  • Donation designation, when applicable
  • Description of noncash property, when applicable
  • Statement regarding goods or services provided
  • Fair market value disclosure when required
  • VAlanthropy organizational information

VAlanthropy may also provide annual giving summaries as a convenience to donors.

Noncash Contributions

Additional documentation requirements may apply to noncash contributions.

Depending on the type and value of property contributed, donors may be responsible for obtaining an appraisal or completing additional tax documentation.

VAlanthropy does not determine or verify the tax-deductible value of donated property for the donor.

When appropriate, VAlanthropy may acknowledge receipt of donated property or complete documentation confirming receipt. Such acknowledgment does not represent agreement with the donor’s claimed value.

2. Cancellation & Payment Update Policy

One-Time Contributions

Charitable contributions are generally final once processed.

VAlanthropy may review refund requests involving:

  • Duplicate transactions
  • Incorrect donation amounts
  • Unauthorized transactions
  • Technical or processing errors
  • Other documented administrative errors

Submitting a request does not automatically guarantee a refund.

Requests should be made as soon as reasonably possible after the donor becomes aware of the issue.

Recurring Contributions

Recurring donors may change or cancel future donations at any time.

Donors may request to:

  • Increase or decrease their recurring contribution
  • Cancel recurring giving
  • Update contact information
  • Change their payment method
  • Change communication preferences
  • Pause a recurring gift when supported by the payment platform

There is no cancellation penalty.

Whenever possible, cancellation or change requests should be submitted before the next scheduled processing date.

If a payment has already been processed before the request is received, that transaction may not automatically be refundable.

Updating Payment Information

For security reasons, donors should not send full credit card numbers, security codes, passwords, or banking credentials through ordinary email, text message, social media, or voicemail.

Payment information should be updated through:

  • VAlanthropy’s secure donation system
  • The approved payment processor
  • A secure donor portal
  • Another secure method authorized by VAlanthropy

VAlanthropy staff may assist donors in accessing the appropriate secure process but should not collect sensitive payment credentials through unsecured communication methods.

Failed Payments

If a scheduled recurring contribution cannot be processed, VAlanthropy or its payment provider may:

  • Notify the donor
  • Provide a secure payment-update option
  • Retry the transaction according to the payment processor’s procedures
  • Suspend future recurring charges after repeated unsuccessful attempts

VAlanthropy does not assess penalties for declined charitable contributions.

3. Gift Acceptance Policy

VAlanthropy welcomes charitable gifts that support its mission and can be accepted responsibly without creating unreasonable financial, legal, administrative, reputational, or operational risk.

Acceptance of any contribution is subject to applicable law, VAlanthropy’s governing documents, donor restrictions, and organizational capacity.

Gifts Generally Accepted

VAlanthropy may accept:

  • Cash
  • Checks
  • Credit or debit card donations
  • Electronic or ACH contributions through approved systems
  • Recurring donations
  • Donor-advised fund grants
  • Corporate and employer matching gifts
  • Sponsorship contributions
  • Legacy Brick qualifying contributions
  • Approved in-kind gifts
  • Publicly traded securities when appropriate systems are available
  • Other charitable assets approved by authorized leadership

Donor-Advised Fund Gifts

VAlanthropy may accept grants recommended through donor-advised fund sponsors, including National Christian Foundation and other qualified providers.

Acceptance of a donor-advised fund grant does not create a religious affiliation, political affiliation, or organizational relationship between VAlanthropy and the fund sponsor.

Donor-advised fund gifts must comply with the rules of the sponsoring organization and applicable law.

Certain donor benefits may be limited or prohibited in connection with donor-advised fund grants. VAlanthropy may decline or modify recognition benefits when necessary to comply with donor-advised fund requirements.

In-Kind Contributions

VAlanthropy may accept useful donated goods or services when they:

  • Support an approved organizational or project need
  • Are in usable and appropriate condition
  • Do not create unreasonable storage, transportation, maintenance, disposal, or liability costs
  • Can legally and responsibly be used by the organization

Examples may include approved:

  • Furnishings
  • Household items
  • Construction materials
  • Equipment
  • Professional services
  • Event-related goods or services

VAlanthropy reserves the right to decline donated items that do not match current needs.

Unless required by law, VAlanthropy will acknowledge the description of donated property but will not assign or verify its tax-deductible value.

Gifts Requiring Additional Review

The following gifts should be reviewed before acceptance:

  • Real estate
  • Vehicles
  • Closely held business interests
  • Cryptocurrency or digital assets
  • Intellectual property
  • Securities subject to restrictions
  • Gifts requiring significant ongoing maintenance
  • Gifts with unusual donor restrictions
  • Gifts involving environmental or legal liability
  • Gifts that could create significant tax consequences for VAlanthropy
  • Gifts that may conflict with grant conditions or governmental funding requirements

VAlanthropy may require review by leadership, the Board of Directors, legal counsel, accounting professionals, or other qualified advisers before acceptance.

Restricted Gifts

VAlanthropy may accept contributions restricted to an approved charitable purpose when the restriction:

  • Supports VAlanthropy’s mission
  • Can reasonably be fulfilled
  • Is properly documented
  • Does not create excessive administrative burden
  • Does not conflict with existing funding agreements or legal requirements

VAlanthropy may decline a restriction that is too narrow, impractical, inconsistent with the mission, or impossible to administer responsibly.

If circumstances later make a restriction impossible or impractical to fulfill, VAlanthropy will address the issue according to applicable law and the terms governing the gift.

Gifts VAlanthropy May Decline

VAlanthropy reserves the right to decline any contribution that:

  • Conflicts with the organization’s mission or values
  • Violates applicable law
  • Creates unacceptable legal or financial liability
  • Requires VAlanthropy to endorse a political candidate or partisan activity
  • Requires religious participation, advocacy, or organizational affiliation
  • Requires discriminatory practices
  • Would compromise VAlanthropy’s independence
  • Creates inappropriate donor control over organizational decisions
  • Requires publicity or recognition VAlanthropy cannot guarantee
  • Is inconsistent with federal, state, grant, housing, or funding requirements
  • Carries restrictions VAlanthropy cannot reasonably honor
  • Could materially damage organizational credibility or public trust

VAlanthropy retains final discretion regarding whether a gift is accepted.

Donor Influence

A charitable contribution does not provide the donor with:

  • Ownership of VAlanthropy property
  • Control over organizational decisions
  • Board authority
  • Resident selection authority
  • Program management authority
  • Guaranteed naming rights
  • Guaranteed publicity
  • Influence over housing eligibility or resident services

Any naming or recognition opportunity must be separately approved according to VAlanthropy policies.

4. Gift Administration & Donor Communication

VAlanthropy will make reasonable efforts to:

  • Record contributions accurately
  • Honor documented donor restrictions
  • Provide appropriate acknowledgments
  • Protect donor privacy
  • Maintain reliable donor records
  • Respond to donor questions
  • Correct administrative errors
  • Communicate material changes affecting a designated gift when appropriate

Donor information will be handled according to VAlanthropy’s Donor Privacy Policy and Website Privacy Policy.
